Filming & Photography Privacy Policy

Note: THIS IS NOT THE PRIVACY POLICY FOR TAPESTRY JOURNAL.
Data stored on Tapestry (the application this website refers to) is covered by a completely different contract. You can access that from the security page on this website or from within your Tapestry account.
This policy only refers to the photography and filming carried out by the Foundation Stage Forum staff.
If you’re reading this privacy policy, it’s possible that we are visiting your or your child’s school or nursery and will be taking videos and photos while we’re there. This media will be used in promotional materials for Tapestry. You may already know a bit about what you are consenting to and how we will process the data we collect, but we have written this privacy policy to explain it all in a bit more depth.
What data do we collect and when?
We will collect names of all participants (children and adults) and signatures of the adults giving consent. These will be collected on or before the day of filming.
We may take photos and videos of the children, parents, and staff we have consent for. This may include:
- Faces
- Footage of conversation, play, and other activities
- Evidence of the school/nursery name and location
Why do we collect it?
We are taking pictures and video footage for use within marketing materials for Tapestry. Some of the places we might use these are, but are not limited to:
- The tapestry.info website
- Our social media pages
- Adverts in external publications
- Leaflets for distribution at conferences
Names and signatures are collected as evidence of collected consent and so we know who can revoke consent if necessary.
How do we store and process your data and who do we share it with?
We are the controllers of this data.
Data that is not part of promotional material will be stored and processed in the UK.
We will use Microsoft servers to store them and our own computers to view them. Microsoft are under a written contract that ensures our data remains in the UK and that they are compliant with UK data protection law.
Photography and video that is part of promotion material, or being prepared to be part of promotion material, will be transferred outside of the EU and the UK. We will use sub processors to edit, store, and display the materials e.g. Google (YouTube). We will ensure that any processing activities we carry out are compliant with UK data protection law. However, as promotional materials will be publicly available, they may be viewed and copies taken from anywhere in the world.
Deleting the data we hold
Once the photography and videos are no longer needed for publicity purposes, we will delete them.
We will retain the data collected as part of consent gathering for any pictures or videos that are made available to the public. If we delete pictures or videos before they have been distributed, we will also delete the data collected as part of consent gathering.
You may withdraw consent for video/photos to be taken at any point before or during the session, by speaking to a member of school, nursery, or Foundation Stage Forum staff present on the day, or by emailing at least 24 hours in advance to lottie@tapestry.net.
You can withdraw your consent at any time after the filming is completed by contacting customer.service@eyfs.info or dpo@eyfs.info.
Any child appearing in the photography or videos can also withdraw the consent given on their behalf.
If consent is withdrawn, the photography and/or recordings will then either be deleted, or faces will be blurred, and not used in future publications although they may continue to appear in publications already in circulation.
Copyright and ownership
The Foundation Stage Forum will own the pictures and footage taken, along with any videos or materials created using those. If you would like to use any of the media for your own purposes e.g. as part of marketing for the school or nursery where they were taken, please get in touch with us by emailing customer.service@eyfs.info.
Your Rights
If you are based in the European Union or the UK, you have a number of rights under the GDPR. They include the right to be informed of how and why we collect your data, the right to access the data we collect for you, the right to correct inaccurate or incomplete data we hold on you, and the right to have us delete any data we hold on you. You can see a full list of your rights and more detail about what they mean here.
If you would like to enforce any of your rights, you can do so by emailing us to request them. Our email address is customer.service@eyfs.info.
You also have the right to lodge a complaint with a supervisory authority if you think we have misused your data. For the UK, that is the ICO.
