Tapestry Invoices

Set prices, allocate funded hours, and generate invoices.

 

Tapestry Invoices is part of our growing set of nursery management tools, designed to save you time and money.

Use it to price sessions, allocate funded hours, and generate, send, and keep track of your invoices.

Configuration is flexible, with options to:

  • Price each session as a fixed cost, by hour, or by child’s age.
  • Set the text that appears on your invoices.
  • Add the funding types you offer.
  • Create Extra Charges which you’ll then be able to add to each child’s specific sessions.

The only other thing you need to do to get going is tell Tapestry when each child will attend and which Extra Charges apply to them for each day, if any. As part of a child’s ‘Regular Schedule’, you can also allocate their funded hours and see how much each session will cost, as well as info on how that was calculated. Your invoices are generated with a click of a button. They are clear, transparent, and accurate to the penny! They’ll include a simplified overview which can be expanded to see exactly which sessions and Extra Charges are included in the final price, along with any adjustments, e.g. for extra bookings made during a period already billed for. If you have additional things to charge for or discounts to apply, those can be added as your own additional line items.

 

 

Once you have assigned a bill payer, you can send the invoice via Tapestry. The parent or carer will receive a link to their invoice via an email and an internal notification.

Adding, and tracking payments is just as simple with Account Balances. You record the amount received for a child. Tapestry will automatically allocate the funds (but let you say if you want them to apply to specific invoices), update the status of invoices if they are paid or partially paid, and send a receipt to the bill payer.

 

 

For each child’s account, you’ll be able to see the amount of credit or debit, and filter by credit status and by room.

 

 

This is available on the browser version of Tapestry, in the ‘Booking’ section, and is included in the cost of your subscription.
