Supporting your setting

We are aware of the uncertainty surrounding the current Coronavirus pandemic. Here at Tapestry we want to reassure you that we are putting together all the resources that we can to help you throughout this period.

Here’s all the information to support your setting, staff, children and relatives using Tapestry. You will find video and written resources, such as articles and Tapestry tips, news on any features that we release to assist you with remote learning and also a FAQ section that we hope you find helpful.

We will update these resources as we produce them.

Audio Files

You can now upload audio files which are up to 30 minutes long or 5GB to observations, reflections, memos and activities on the browser version of Tapestry. Note that whilst you can see and listen to audio files on the app, uploads are only permitted through the browser version, which is also accessible from any portable device.

Every week we will upload infographics with loads of activities for you to send home to parents to support them as they meet the challenge of remote learning.

Yes! All staff are currently working from home and are completely set up to do so to maintain our normal service level.

We will continue to provide support if you get in touch with us either through your Tapestry account or by emailing us at customer.service@eyfs.info.

Yes it does! These can be enabled on your account for no extra charge. You can take a look at this page for more information.

We are currently offering schools already using Tapestry, 4-month partial subscriptions instead of our normal yearly subscriptions to allow them to extend Tapestry across the whole school for remote learning purposes. This would be a separate package instead of an addition to any current package.

Alternatively, you can upgrade your package size to accommodate extra children there.

If you made your cohort of children last year inactive on your account, you can reactivate them by following this tutorial.

If you deleted, whether you are able to restore them is dependent on when you deleted them. If you deleted them less than 90 days ago, you can restore them on your account by following this tutorial.

If you deleted them between 90-180 days ago it is possible, they are still in our backups. We can restore children’s journals from our backups, but we do need to charge for this as it is a delicate process and involves one of our developers going into our backups. If you would like us to check this for you, please get in touch with us by emailing customer.service@eyfs.info.

If you deleted these children more than 180 days ago then I’m afraid they would have now been permanently deleted as explained in our Tapestry contract.

If your setting is still able to make payment, follow this tutorial which will explain how to do this through your account.

All our staff are currently working from home but our finance team are taking it in turns to pick up post from our office. This may not be done on a daily basis and this situation may change, so if you have, or will be paying by cheque, please get in touch with us by emailing customer.service@eyfs.info quoting your invoice number and we can mark your invoice as payment promised to ensure there is no lapse in your subscription.

Most of our system automatically adds new capacity as it is needed: e.g., it automatically adds extra servers and storage within minutes of them being needed and removes them when they are no longer needed.

We keep a close eye on the few parts that do not scale in this way and we currently have plenty of capacity for them. If we need more capacity in those areas, we have contingency plans in place to increase the capacity, though this would require a few minutes of downtime to execute. This would be scheduled to be done at a time of day to be least inconvenient for most of customers and we would provide notice of this using a banner within your account.

We do not currently place any storage space limits on our accounts.

We can increase or decrease our storage capacity very rapidly as demand changes, so we do not expect this to be a problem in the near term.

You can upload videos of up to 10 minutes or as large as 5GB.

It is also possible for you to upload files such as Word, PowerPoint, PDF and Excel sheets to Documents, Observations, Reflections and Memos.

Whether your staff can access Tapestry from home or not is up to you and your setting to decide, though you may want to adjust your policy due to the setting closures. If you have any concerns surrounding GDPR, we suggest you get in touch with the ICO.

If your staff are currently set up as PIN-only to stop them accessing Tapestry from home, you may want to consider changing their staff type to a full staff member to allow them to login with an email address and password, as explained in this tutorial.

If you choose to update your current learning journal policy, you can upload this to your account using the Documents feature on Tapestry. This tutorial shows you how to do this.

You can do this by assigning children to staff as their key children, which this tutorial demonstrates, and then setting it so staff can only see their key children. This tutorial explains how to do the latter.

Remember that it is not possible to apply restrictions to managers. If you are a manager and wish to only see your key children, you can set your own preferences to just see your key children by following this tutorial.

Alternatively, if you are happy for staff to have the choice you could add manual groups to your account, put the staff member’s name in the title of the group and then add the children to that. This would mean when staff were adding observations, they could select children from their group, or they could select the whole group.

This tutorial explains how to add manual groups to your account.

Reflections on Tapestry allows you to communicate with staff within your setting, giving you a place to share thoughts, ideas and actions.

It can be enabled on your account for no extra charge; take a look at this page for more information.

Information about children such as their names and DOBs can be exported by a manager from the Manage Children section on the Control Panel.

Several of the tracking screens on Tapestry also have the option to be able to export data from them as a CSV. If this option is available for a screen, you will see a ‘CSV’ button on the top right of the actual tracking section of the screen.

Yes, it is possible to do this using Tapestry via the Memos, Documents, or Observations features.

With all three you can upload Word, PowerPoint, Excel, and PDF files. Memos might be the best one to use if you’d like to send messages with news and updates to all of just a group of parents and carers, but you can use whichever works best for you.

Relatives can only access documents that have been specifically shared with relatives. Please note that this a blanket setting, so it’s not currently possible to make specific documents available only to some relatives. Please be aware of this when choosing whether or not to make a document visible to relatives.

Yes, you can now upload Word, PDF, PowerPoint and Excel files to observations on Tapestry. They will be scanned by antivirus software when uploaded.

You can upload files just like you would upload photos and videos – from the ‘media’ section.

 

Yes, you can. There are a variety of relative user permissions available on Tapestry. You can find out more about them and adjust the permissions on your account by following this tutorial.

It is possible to allow relatives to add their own observations on your account. Whether you allow this or not is up to you.

To allow them to add observations and check your other permissions surrounding relatives and observations e.g. allowing them to comment and visibility of other relative’s observations, have a look at this tutorial.
